We are thrilled that you’d consider fundraising on behalf of the Breast Cancer Fund!  By hosting an event, you become part of the critical effort in helping to raise money and awareness for prevention of this terrible disease.

GUIDELINES AND APPLICATION FOR HOSTING A FUNDRAISER

Thank you again for choosing the Breast Cancer Fund as the beneficiary of your event!  Reviewing and completing the Guidelines and Application is the first step in hosting a fundraiser on behalf of the organization.

Please carefully review and fill out all of the information on this form.  You will need to submit this application in order for your event to be processed and approved.  Once approved, you will have access to proprietary information such as our logo and promotional materials.

Please note that the event details and donation amount needs to be "clearly stated" in this application and all of your promotional materials for the event.  For example, “$5.00 from every $20.00 event ticket sold", or "15% of the purchase price from every xyz product sold.”

HOST AN EVENT

There are many things to consider when hosing a fundraising event.  First and foremost, set realistic goals for yourself.  It is very important to be inspired and motivated, however your expectations should represent the true capability of the time and resources that you have to offer.

Tips & Ideas to help you  make the most of your event: 

1. Host an event that you are excited about – It always helps to promote an event, and talk to media, etc. when you are excited about what you are doing.

2. Create an event committee – Don’t try and do this all by your self.  It really helps when you have a group of people helping to organize the event.  Key committee members can include: an Event Director (primary contact to the Breast Cancer Fund), Promotional Manager and Marketing Team, Publicity Coordinator, Sponsorship Coordinator, Event Coordinator, Ticket Sales Coordinator, and Volunteer Execution Team. 

SUB PAGE OF COMMITTEE DESCRIPTIONS:

Director – This is the team leader and primary contact for the Breast Cancer Fund.  The Director oversees the event and is the go-to person for all the production questions and needs.  The director should know and understand all facets of the event and the pieces needed to put everything together.  This person will be the information provider and the group leader.  They shall oversee the event budget and all of the fundraising activity.

Promotion and Marketing Manger – This person is in charge of devising the marketing and promotional plan to successfully promote the event throughout the community.  The promotional manager should be in charge of devising this plan, setting up all of the promotional strategies, and is the leader in executing these ideas.  You marketing team should help execute all facets if the plan.

Publicity Coordinator – This team member is responsible for securing publicity and advertising opportunities for your event.  These tasks might include securing a radio station for ticket giveaways, sending our press releases to local newspapers, radios and television stations, securing local calendar listings on the web and printed publications, securing donated advertising space in local media outlets, etc.  This person will also coordinate all follow-up calls to these people.

Sponsorship Coordinator – The sponsorship manager will help to raise funds for the event.  By securing fiscal sponsors, you will be able to have more people in the community involved and be able to raise more money from your event.  This role is also responsible for providing benefits to your local sponsors at your event.  See sponsorship page for more details.

Event Coordinator – This person is key to making a successful event!  The event coordinator is responsible for both the visual aspect and overall experience for your guests.  They are in charge of the behind the scenes work with the venue.  This is a great role for a creative member of the team.  They do everything from creating a smooth running event, seating of the guests, and hosting a pre or post- reception to compliment the event.

Ticket Sales Coordinator – If you are selling tickets for your event, you will need someone in charge of the handling.  This person will determine ways to pre-sell tickets, sell tickets the night of, and oversee this financial piece of the event.  This person should be a part of the marketing team.

Volunteer Team – This can be the most important roles on the team!  For all the jobs created by the coordinators, there will need to be people available to execute them.  This is everything from fulfilling the promotional plan, helping coordinate the night of, being out in the community to promote the event, and being the body of the team.  Try to chose a group that is able to attend progress meetings, do mailings, create decorations, copy fliers, put up posters, usher at the production, sell merchandise, etc.


3. Leverage your event in all directions.  Go out into local communities and ask retails for their support to help promote the event.  Whatever supplies you need, ask that they be donated for your event.  The Breast Cancer Fund will generate a Thank You letter with the necessary tax ID and language for their purposes.  Contact Julie Homan at jhoman@breastcancerfund.org or call 415-346-8223, x.15 and a Donation Form will be sent to you.

4. Create an auction in conjunction with your event.  This is a wonderful way to generate extra money for the cause.


ADD ACTION TO YOUR EVENT:

The Breast Cancer Fund is an environmental public health advocacy organization, focusing its current program work on the link between toxins in our environment and breast cancer.  As important as raising money for the cause, is the educational outreach of this pressing issue.  Help us spread the message- your event is the perfect opportunity to be a platform for prevention!  Please educate your guests and participants regarding current program work sponsored by the Breast Cancer Fund.  For more information on our current campaigns, click here

LUNAFEST, a national festival of films by, for or about women and sponsored by LUNA Bar, will return to screens nationwide for the eigth year beginning in October 2008.  In addition to providing national exposure for emerging women filmmakers, LUNAFEST also supports one of the most important causes for women today by donating proceeds from the festival to the Breast Cancer Fund.  This year, you can direct your very own LUNAFEST as a benefit for us. Click here for more information.

USING SPECIAL OCCASIONS TO BENEFIT BREAST CANCER FUND:

Use your special day to show your guests about the cause you care about!  Whether it's your birthday, anniversary, you're retiring, having a holiday party at the office, getting married or having a new little one, asking for donations in lieu of traditional gifts is a great way to spread awareness and support of the Breast Cancer Fund.

For weddings in particular, dozens of on-line giving portals and wedding registries give you the option to include donations; whether it be in place of traditional gifts from your guests, or on behalf of your guests as the special event giveaway.
